From notebook to app: moving your hostel over in one afternoon

If you have run your hostel from a paper register for years, moving to an app can feel like a big job. It is smaller than it looks. Most owners can move a 30 to 40 bed hostel in one afternoon, and they do not need to move their whole history, only what is true today.

Before you start: pick a quiet day

Choose a day away from rent day, when you can sit for three or four hours without interruptions. Keep your register, a list of residents' phone numbers and this month's payments next to you.

Step 1: Add your rooms

Start with the building, not the people. Add each room with its number, floor, number of beds and rent. Most apps let you add several similar rooms at once: if floors 1 to 3 all have four-sharing rooms at the same rent, that is one step, not thirty.

Step 2: Add the people living with you today

Add each current resident with their name, phone number, the room and bed they are in, and the date they joined. Do not try to type in everyone who ever stayed; start from today. Your old register is still there if you ever need to look something up.

Add ID details and photos as you get time. They should not stop you from finishing.

Step 3: Set where each person stands on money

This is the step that matters most. For each resident, enter what they owe right now (this month's rent, anything still due from last month) and the deposit you hold. After this, the app's list of who has paid and who has not should match your notebook exactly. If it does not, fix it now, while everything is in front of you.

What you do not need to move

Old receipts, residents who left years ago, last year's electricity readings: leave them in the register. An app is useful from the day you start using it, not from the day your hostel opened. Owners who try to copy everything in usually give up halfway; owners who start from today are finished by evening.

Step 4: Set up how rent is paid

Enter the UPI ID you want rent paid into. From the next month the bills are raised for you, and reminders can carry a link that lets residents pay straight into your account.

Step 5: Bring your staff in

If a manager or warden helps you, give them their own login and show them the two or three screens they will use every day. Let each person choose the language they are most comfortable in.

Step 6: Run both for one month

For the first month, keep writing in the notebook too. At the end of the month, compare the two. When they agree, you can put the notebook away, and most owners find they stopped opening it after the second week.
