Hostel management software: what to check before you pay

Most PG and hostel owners in India still run everything from a notebook, a WhatsApp group and memory. It works until the building fills up, a manager joins, or two residents both say they paid in cash. That is usually when owners start looking at hostel management software, and discover there are dozens of apps that all promise the same things.

This guide is a checklist. It will not tell you which app to buy. It tells you what to check, so you can compare any two apps in ten minutes and choose the one that fits the way you already run your hostel.

1. What does it cost for a whole year?

Apps quote prices in different ways: per month, per bed, per property or per year. That makes them hard to compare. Turn every price into one number, what you would pay for your hostel for twelve months. A ₹159-a-month app costs ₹1,908 a year; a ₹299-a-month app costs ₹3,588. Per-bed pricing grows every time you add a room, so work it out for the size you plan to be next year, not just today.

Also check what is not included. Some apps charge extra for reminders, extra staff logins, reports or a second property. Ask for the full price of the plan you would actually use.

2. Can you try it with your real hostel?

A demo shows you a perfect hostel. A free trial lets you put in your own rooms, your own residents and this month's rent, and see whether the numbers match your notebook. Look for a trial long enough to cover one rent day, around two weeks, that does not ask for a card before you start.

3. Can you and your staff read it?

If your manager or warden is more comfortable in Tamil, Telugu, Kannada, Hindi or Malayalam than in English, an English-only app quietly becomes the owner's job again. Check which screens are actually translated (rooms, residents and billing matter most) and whether each person can choose their own language.

4. How do residents pay, and who confirms it?

Rent is the reason most owners switch. Check three things:

There is no single right answer. Money that goes straight to your UPI ID costs nothing and arrives instantly, but you confirm it yourself. A payment gateway can confirm automatically, but usually takes a percentage and settles a day or two later.

5. Reminders: automatic, or one tap?

Some apps send rent reminders on their own, before and on the due date. Others prepare the WhatsApp message and let you tap send, which some owners prefer because the reminder then comes from them, not from a machine. Decide which you want, then check the app does it.

6. Does it help you fill empty beds?

An empty bed costs you its full rent every month it stays empty. Some PG management software is only a register; some also list your hostel where room-seekers are searching. If an app offers a listing, check whether it takes a commission on bookings or on rent. Many owners are surprised to find it does.

7. Is your data yours?

Your residents' details, IDs and payment history are your records. Check that you can see everything the app holds, and ask what happens to your data if you stop paying. Can you still get it out?

8. Will it work on your phone, at the gate?

Most hostel work happens standing up: a new resident at the front desk, a complaint in the corridor, a payment in the evening. Open the app on your own phone during the trial and do a real task. If it needs a laptop, it will end up unused.
